1. Who is responsible for the processing of your data?

2. When do we collect your personal data?

Through the registration request form : the registration request is made from the event's website through a registration form that the interested party must complete with the requested data and attach the required information, if applicable. By completing this form we also request authorization to send commercial communications both from our company name and from the companies listed in Annex I.

Whenever the registration requires payment, the payment process is redirected to a third party, which means that EVENTISIMO SLU will not have access to your bank details, we will only receive confirmation that the payment has been made.

In contacts after the registration application : if necessary, the registered person can be contacted to request additional information or any clarification on the information provided in the application.

During the event : During the event you may interact with us and provide us with additional information. By accrediting you in the different conferences we will collect information about your attendance and participation in the event.

Consultations, complaints and claims : from the web we make available different channels to contact us to which you can contact in case you have any additional questions, complaints or claims, if necessary, we will collect the necessary data to resolve your query or manage your claim.

3. Purposes and legitimacy for the use of your data

The following table shows the purposes for which we can use the personal information you provide us and we put them in relation to the legal basis that allows us to carry out the treatment:

PURPOSE: Management of the registration made: Confirm that the requirements for registration are met and keep you informed about news related to the celebration of the event. LEGAL BASIS: The execution of a contract in which the affected party is a party (Art. 6.1.b) RGPD)

PURPOSE: During the event we will process your data to identify you as a registered participant/sponsor, facilitate access to the facilities, send the necessary providers for the correct provision of the service, as well as the activities included in your registration. And send commercial communications about the registered Congress and subsequent similar congresses.
LEGAL BASIS: The execution of a contract in which the affected party is a party (Art. 6.1.b) RGPD)

PURPOSE: Administrative and accounting management of your registration payment.
LEGAL BASIS: Comply with legal obligations (art. 6.1. c) GDPR)

PURPOSE: Provide your data to third parties of interest (see section use of accreditation)
LEGAL BASIS: Consent given by you (art 6.1. a) GDPR)

PURPOSE: In case of having a legal basis that authorizes us, we will process your data to send you additional information and commercial communications informing you of advertising from companies in Annex 1 that may be of interest to you. 
LEGAL BASIS:
- When the requirements of article 21.1 of Law 34/2002, LSSICE for sending electronic communications are met
- The consent given for the sending of commercial communications (article 6.1. a) GDPR)
- Comply with legal obligations (art. 6.1. c) GDPR)

PURPOSE: The information will be processed to comply with our legal and regulatory obligations, as well as to comply with possible judicial resolutions and other decisions determined by the authorities. Including the communication of your personal data to the security forces and bodies, whenever we have suspicions or indications of an action that may constitute an illegal / criminal offence.
LEGAL BASIS: Comply with legal obligations (art. 6.1. c) GDPR)

PURPOSE: Management/resolution of queries, complaints and claims that you can send us and that may be related to our events in general or to the execution of a particular contract
LEGAL BASIS:
- The consent given when sending the query and when making the registration (article 6.1. a) GDPR)
- The execution of a contract in which the affected party is a party (Art. 6.1.b) RGPD)

PURPOSE: Sending questionnaires or surveys to find out the degree of satisfaction of the participants and improve the quality of our events.
LEGAL BASIS: Satisfaction of legitimate interests (art. 6.1. f) GDPR)

PURPOSE: Analyze the information about our interaction with you to improve our commitment and/or carry out studies and statistics to improve our functionality as a company, our services related to the events we organize, as well as our relationship and experience with the participants.

4. Capture and use of images during the event

You should know that EVENTISIMO SLU, in order to promote the events and activities in which it collaborates, may capture images and/or videos of the participants in the event, this capture can be carried out by EVENTISIMO SLU, directly or through contracted third parties. This data processing will be done based on legitimate interest. Captures may be published on the Internet, the EVENTISIMO SLU website or the event, on social media pages, magazines and publications, as well as in the companies listed in Annex I.

Said activity does not confer the right to remuneration or any benefit to the subjects that may occasionally appear in the recruitments. 

5. Use of accreditation

When the registration is formalized, the participant is provided with an accreditation with a QR code. This QR will allow you access to the facilities and activities in which you participate.

The exhibitors that you allow to scan your accreditation will receive basic information about you, specifically: Name, surname, contact information, company you work for and position you hold.

Some of the scheduled conferences allow attendees who so wish to provide the data to the entities that offer or participate in the conference in question, for this, it is enough for the attendee to be accredited by means of the QR when accessing the conference. Accreditation in any case will be mandatory and is not a requirement to access the conference. We remind you that, through the event website, you will be able to access the information linked to your accreditation and update it with the correct data.

6. How long will we keep your personal data?

Your data will be processed during the period of time that the registration process lasts. Once the registration is confirmed, they will be processed until the end of the event.

The data related to the registration payment will be kept for the time necessary to comply with tax obligations.

If we have your authorization to send communications, we will keep your data until you express your willingness to stop receiving these communications or until 5 years have elapsed since your last interaction with us. We remind you that all newsletters and commercial communications have a link that allows you to unsubscribe with a single click.

In any of the above situations, after said periods have ended, the data will be kept blocked for the legally determined period to defend against possible claims and to comply with any legal obligations that may have arisen. 

7. To which recipients can your data be communicated?

Your personal data will be processed by the staff of EVENTISIMO SLU and the companies in Annex 1. It is only planned to communicate them to public administrations to comply with legal obligations.

As explained in the  Use of accreditation section,  when the participant authorizes an exhibitor to scan the QR code of the accreditation, EVENTISIMO SLU will provide the exhibitor or the entity promoting a specific event with the basic contact information contained in a card. visiting. 

8. What are your rights when you provide us with personal data?

If we process your data, you should know that your rights are:

Right to request access to personal data: you can ask EVENTISIMO SLU if it is processing your data and access it.
Right to request its rectification if the data is inaccurate, or complete the data that we have incomplete.
Right to request the deletion of your data.
Right to request the limitation of your treatment .
Right to oppose the treatment : EVENTISIMO SLU will stop processing personal data, with the exception that they must continue to be processed for reasons provided for in the regulations.
Right to data portability:  in the event that the user wants their data to be processed by another controller, EVENTISIMO SLU will facilitate the transfer of their data to the new controller.
Right not to be subject to a decision based solely on the automated processing of your personal data.
At EVENTISIMO SLU we process data based on consent and you should know that you have the right to withdraw your consent at any time, without this affecting the legality of the processing carried out prior to its withdrawal.

Whenever you consider it appropriate, you can file a claim with the Spanish Agency for Data Protection  https://www.aepd.es/

Remember that you are responsible for the data you provide us, therefore, your data must be true, exact and you must keep it updated.

9. Data of minors

The events organized by EVENTISIMO SLU are aimed at professionals of legal age, so if you are a minor you should not send illegal and incorrect information. In any case, if the parents or legal representatives consider that their children or guardians have sent us personal data, please contact us by sending an email to hello@sunandbluecongress.com  

10. How have we obtained your data?

If you have registered for an event, the data that we will process will be the ones that you provide us. The applicant must always provide accurate information of their own and update their personal data as they undergo changes, since we must have their current information.

The user must not include personal data from third parties without having obtained their prior consent and having informed them of this privacy policy, the user being solely responsible for the legality of the data provided. 

11. Modifications

We will only use your personal data as set out in this document that is in force at the time we collect your information. In the event that EVENTISIMO SLU carries out a change in the processing of your data, it will inform you in a timely manner.
